Punch List — How to Document and Track Deficiencies Effectively

A punch list is the most important quality assurance tool in a construction project. Download a free template and learn how to record, assign and track deficiencies professionally.

What Is a Punch List?

A punch list (also called a snag list) is a systematic document that records defects and deficiencies in a construction project. It is typically prepared during the acceptance inspection, when construction work is largely complete.

A well-prepared punch list speeds up repairs, reduces disputes and ensures the project is handed over at the agreed quality level. It is also a legal document that protects both the client and the contractor.

Creating a Punch List in Three Steps

1

Walk Through and Document

Go through the site systematically room by room. Photograph every deficiency and record the location, description and responsible person.

2

Prioritize and Distribute

Classify deficiencies as critical, medium-priority and cosmetic. Share the list with subcontractors and set a repair schedule.

3

Track and Sign Off

Monitor the progress of repairs. Sign off completed items with a new inspection round. Document all changes.

Tips for an Effective Punch List

Photograph Everything

Every deficiency deserves a photo. A photo removes ambiguity and speeds up the repair.

Use a Standard Template

The same template for every project. This speeds up recording and makes tracking easy.

Prioritize

Not all deficiencies are equal. Critical items first, cosmetic items last.

Assign a Responsible Person

Every deficiency must have a responsible person and a repair deadline.

Sign Off with a Photo

A repaired deficiency is signed off with a new photo. This is the best way to avoid disputes.

Keep the List Up to Date

Update the list as soon as deficiencies are repaired. An outdated list is useless.
